Attendance Policy

Regular attendance helps your young person get the most out of their time at Billesley Scouts, from building friendships and learning new skills to taking part in activities, camps and adventures.

We understand that life happens, and sometimes your young person won’t be able to make a session. This policy explains what we ask from parents and carers when it comes to attendance, what to do when your young person is going to be absent, and what happens when we haven’t heard from you. If anything here is unclear, or you need to talk to us about your young person’s attendance, please get in touch with their section leaders or contact us directly.

Attendance at 325th Birmingham (Billesley) Scout Group is governed by our Attendance Policy, which is outlined below.

  1. Attendance

 1.1. General attendance

1.1.1. Within reason, and where possible, all young people are expected to attend every scheduled session of the Group.

1.1.2. Regular attendance enables young people to participate fully in the Group’s programme, maintain friendships, develop skills and take part in activities and events.

 1.2. Absence

1.2.1. If a young person is unable to attend a scheduled session, the adult responsible for the young person should inform the Group as soon as reasonably possible.

1.2.2. Where a young person is unable to attend for an extended period, including as a result of illness, the adult responsible should inform the Group of the expected duration of the absence where this is known.

1.2.3. Where the Group has been informed of an extended absence, we will look forward to welcoming the young person back when they are able to return.

  1. Unexplained absences

 2.1. Contact following absence

2.1.1. Where a young person fails to attend a scheduled session and the Group has not been informed of the reason for their absence, the Group may contact the adult responsible for the young person to establish the reason for the absence.

2.1.2. Adults responsible for young people should ensure that the Group holds accurate and up-to-date contact information so that they can be contacted where necessary.

 2.2. Three consecutive absences

2.2.1. Where a young person fails to attend three consecutive scheduled sessions and the Group has received no communication from the adult responsible for the young person, the Group reserves the right to terminate the young person’s membership of the Group.

2.2.2. Before terminating membership under clause 2.2.1, the Group will make one final attempt to contact the adult responsible for the young person using the contact information held by the Group.

2.2.3. Where contact is established and an explanation for the absences is provided, the Group may consider the circumstances before deciding whether to terminate the young person’s membership.

  1. Returning to the Group

 3.1. Return following absence

3.1.1. Where a young person’s membership remains active, they may return to their section following an absence.

3.1.2. Where a young person has been absent for an extended period, the adult responsible should contact the relevant section leadership team before their return where reasonably possible.

  1. Communication

 4.1. Notification of absence

4.1.1. Notifications of absence should be made through the communication method provided by the relevant section.

4.1.2. Where an adult responsible for a young person is unsure who to contact regarding an absence, they should contact the Group through the contact details provided on our website.

 4.2. Changes to contact information

4.2.1. Adults responsible for young people should notify the Group of any changes to their contact information to ensure that the Group can communicate with them regarding attendance or other matters relating to their membership.
